Maintain Workflow Tracking and History for Archived Role Owners

Maintain complete workflow tracking and history visibility when role owners or category owners are archived to ensure audit compliance and regulatory traceability.

Please describe your idea in detail. What is your problem, why do you feel this idea is the best solution, etc.

Current Problem: When a user who owns roles or categories is archived, we face two critical issues that impact audit compliance:

  1. Lost Workflow Tracking: Complete workflow tracking is lost when the identity of a simple role owner or category owner becomes archived. While version 6.2 shows that “the actor is no longer present,” this doesn’t provide sufficient detail for audit purposes.

  2. Missing Historical Data: The “View Previous Data” functionality cannot display workflow history for users in archived state, making it impossible to review past authorization decisions and approvals.

Business Impact: These limitations create significant challenges for:

  • Regulatory Compliance: External Auditors (Commissaires aux Comptes) require complete audit trails of authorization workflows
  • Risk Management: Cannot trace decision-making processes for archived users who may have had critical roles
  • Legal Requirements: Incomplete audit trails may violate regulatory requirements for access management documentation

Proposed Solution: Enhance MyHabs to maintain complete workflow visibility for archived users by:

  1. Preserving Workflow Context: When role owners are archived, maintain full workflow tracking with historical context rather than just indicating “actor no longer present”
  2. Extended History Access: Enable “View Previous Data” functionality for archived users to display complete workflow history
  3. Audit Trail Continuity: Ensure that archiving users doesn’t break the audit trail chain for authorization workflows
  4. Read-Only Historical View: Provide read-only access to archived user workflows for compliance reporting

This solution would ensure regulatory compliance while maintaining system performance and data integrity.
